This policy explains what personal information ME&CO may collect, why it is used, who it may be shared with and the choices available to you.

It applies to information collected through meandcollective.com, enquiries, project communications and related business administration. It should be read alongside any project proposal, contract or cookie controls shown on the website.

Who we are

DATA CONTROLLER

ME&CO is responsible for personal information collected through this website and its direct business communications.

In this notice, “ME&CO”, “we”, “us” and “our” refer to the ME&CO design and digital consultancy operated by Steve Roberts. Privacy enquiries can be sent to enquiry@meandcollective.com.

Information we may collect

The information collected depends on how you use the website and whether you become a client or collaborator.

• Identity and contact details, such as your name, company, role, email address and telephone number.

• Enquiry and project details, including messages, briefs, budgets, timelines, files and feedback you choose to provide.

• Business and transaction records needed to prepare proposals, manage projects, invoice and keep accounting records.

• Communication and marketing preferences, including whether you asked to receive updates or resources.

• Technical and usage information, such as device, browser, approximate location, pages viewed, referral source and cookie choices where analytics are enabled.

ME&CO does not normally collect payment-card details directly through this website. Where payments are taken through another provider, that provider handles the payment information under its own privacy terms.

How information is collected

Information may be provided directly when you complete a form, email, telephone, book a meeting, download a resource or work on a project. Limited technical information may be collected automatically by hosting, security, cookie or analytics tools. Information may also come from professional platforms or referrals when it is reasonable to expect that a business introduction is being made.

How and why we use it

Personal information is only used where there is a clear business or legal reason.

• To respond to enquiries and take steps requested before entering into a contract.

• To deliver agreed services, manage projects, communicate, invoice and fulfil contractual responsibilities.

• To operate, secure, maintain and improve the website and business based on legitimate interests.

• To send optional marketing or resource updates where consent has been given or another lawful route applies.

• To meet accounting, tax, fraud-prevention, legal and regulatory obligations.

Where consent is relied on, you can withdraw it at any time. Withdrawal does not affect processing that was lawful before consent was withdrawn.

Cookies and analytics

The website may use essential technologies needed for security, navigation, forms and basic operation. Where non-essential analytics, advertising or similar technologies are enabled, consent should be requested where required. Cookie choices can be changed through the website controls or your browser. Information is not sold. It may be shared only where reasonably necessary with trusted service providers and professional advisers, such as website hosting, email, forms, scheduling, analytics, cloud storage, CRM, accounting, legal or development providers. Information may also be disclosed where required by law, to protect legal rights or in connection with a genuine business transfer.

Providers should receive only the information needed for their role and are expected to protect it appropriately.

Some technology providers may process information outside the United Kingdom. Where this happens, ME&CO will rely on an appropriate legal safeguard, such as an adequacy regulation, recognised contractual protections or another permitted transfer mechanism.

How long information is kept

Information is retained only for as long as reasonably needed for the purpose collected, legal obligations and the defence of claims.

• Unsuccessful or inactive enquiries are normally reviewed and deleted after up to 24 months.

• Client, contract, invoice and core project administration records may be kept for up to six years after the relationship ends.

• Marketing records are kept until you unsubscribe, withdraw consent or the information is no longer useful.

• Technical and analytics data follows the retention settings of the relevant service and should be reviewed regularly.

Your data-protection rights

Depending on the circumstances, you may have rights to access personal information, correct inaccurate information, request deletion, restrict processing, object to certain uses, receive portable information and withdraw consent. Some rights are subject to legal conditions and exceptions.

You also have the right to complain to the UK Information Commissioner’s Office. ME&CO would appreciate the opportunity to address the concern first.

Security, links and policy changes

Reasonable organisational and technical measures are used to protect information, but no internet transmission or storage system can be guaranteed completely secure. The website may link to third-party services that have their own privacy practices. This policy may be updated when services, technology or legal requirements change; the latest revision date will appear at the top of the page.
